Job Summary:

Join our dynamic IT startup as a Front Desk Officer and Customer Care Representative, where you will be the first point of contact for our clients, visitors, and employees. You will play a crucial role in providing excellent customer service and ensuring the smooth operation of our front desk and office administration.

Responsibilities:

  • As a Front Desk Officer:
    • Welcome and greet clients, visitors, and employees in a professional and friendly manner
    • Answer and direct phone calls to the appropriate person or department
    • Manage and maintain the reception area, ensuring it is clean, organized, and presentable at all times
    • Handle incoming and outgoing mail and packages, including sorting, distributing, and preparing shipments
    • Manage conference room bookings and assist with meeting room setup as needed
    • Maintain office supplies inventory and place orders as needed
    • Assist with general office administration tasks, including data entry, filing, and photocopying
    • Provide administrative support to various departments as needed
  • As a Customer Care Representative:
    • Provide exceptional customer service to clients, responding to inquiries, resolving issues, and addressing concerns in a timely and professional manner
    • Serve as the primary point of contact for customer inquiries via phone, email, and in-person
    • Maintain a high level of product knowledge to effectively answer customer questions and provide accurate information
    • Process orders, returns, and exchanges, ensuring accuracy and customer satisfaction
    • Follow up with customers to ensure their needs have been met and provide assistance as needed
    • Collaborate with other departments, including sales, marketing, and technical support, to address customer issues and improve the overall customer experience
    • Identify opportunities for process improvement and provide feedback to management

Requirements:

  • Proven experience in a customer service or front desk role, preferably in a technology or startup environment
  • Excellent communication and interpersonal skills, with a positive and friendly attitude
  • Strong organizational and multitasking abilities, with the ability to prioritize tasks and manage time effectively
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and other office software
  • Ability to work independently with minimal supervision and as part of a team
  • High school diploma or equivalent; additional certification in customer service or office administration is a plus

Preferred:

  • Experience with CRM software and ticketing systems
  • Knowledge of basic IT troubleshooting and technical support concepts
  • Experience in a fast-paced, high-growth startup environment
