Job Description
- Reporting to management and performing administrative duties.
- Answering telephone calls, as well as screening and forwarding calls.
- Scheduling and confirming appointments, meetings, and events.
- Welcoming and assisting visitors in a friendly and professional manner.
- Handling basic inquiries and sorting mail.
- Copying, scanning, and filing documents.
- Monitoring office supplies and ordering replacements.
- Keeping the reception area tidy and observing professional etiquette.
- Performing other administrative tasks, if required.
- Keep records of customer interactions, process customer accounts, and file documents
- Follow communication procedures, guidelines, and policies
- Receive letters, packages etc. and distribute them
- Prepare outgoing mail by drafting correspondence, securing parcels etc.
- Check, sort and forward emails
- Monitor office supplies and place orders when necessary
- Keep updated records and files
- Monitor office expenses and costs
Qualifications
- Bachelors Degree or HND
- 2 to 5 years work experience
- Proven experience as front desk representative, agent or relevant position
- Familiarity with office machines (e.g. fax, printer etc.)
- Knowledge of office management and basic bookkeeping
- Committed to ensuring the safety of employees and guests at all times
- Uphold safe and efficient workplace policies and practices
- Friendly and approachable with an outgoing personality
- Cooperative, positive, and optimistic
- Excellent customer service skills
- Excellent Marketing skills
- Basic numeracy skills
- Able to prioritize work, handle pressure and take confident day-to-day decisions

- Ability to communicate effectively in person, in writing, and over the telephone
