Job Description

  • We are a prestigious school dedicated to academic excellence and holistic development of our pupils. As we continue to expand, we are seeking an experienced, organised, and highly motivated individual to join our team as a School Receptionist.
  • As our receptionist, you will be the first point of call for visitors to the school, parents, staff and children. As the ïface’ of the school, you will be welcoming, personable, and helpful; being able to represent us in a professional and friendly manner. In addition, it is essential that you are organised, be able to multi-task, work flexibly and have a ïcan do’ approach to work, as no two days are the same. You will also be required to assist the Administrator with various administrative tasks.

Responsibilities
Reception:

  • To be the first point of contact for visitors to the school, extending a warm welcome to callers including parents, visitors and vendors
  • To deal effectively with telephone calls; taking and passing on messages as required
  • Receiving visitors with reference to the school’s child protection policy, whilst monitoring entry systems and ensuring signing in and out in accordance with the same policy
  • Communicating with parents regarding all aspects of school life, receiving and passing on information between parents and teachers in a timely manner with minimum disruption to lessons.
  • To ensure that the reception area remains tidy and that literature and forms are updated and replenished as necessary.
  • Collate registers and check absences.
  • To provide first day calling to parents of absent pupils
  • Maintaining and updating school information, records and databases

Administrative:

  • Printing of all learning resources, workbooks, assessments, timetables and calendars
  • Assisting with the production of school publications; Collating, printing of timetables, examination scripts, collation of marks and printing of school reports
  • Assisting with basic accounting functions, such as cross-checking produced school bills, circulating, processing and reconciling all fee payments
  • Ensuring that all after school enrichment programmes are running smoothly and in line with safeguarding procedures
  • Diary management of all school meetings
  • Processing medication and incident report forms in collaboration with the welfare officer
  • Participating in school meetings, parent information day and parent-teacher conferences
  • Actively involved in public relations and marketing activities; including daily social media postings

Requirements

  • Must live within commuting distance of Jericho, Ibadan
  • BEd Educational Management, BA or BSc in a related field.
  • Minimum 3 years experience in a school office/busy administration department
  • Experience of dealing effectively with the general public
  • Experience of working successfully and co-operating as a member of a team
  • Experience of undertaking a range of administrative tasks

Skills:

  • Extensive Keyboarding skills and high level of competency in IT (Microsoft Office Suite) and Google Workspace
  • Ability to operate and troubleshoot basic electronic office equipment such as laminating machines, printers etc.
  • Ability to maintain a moderately complex filing system and records
  • Ability to communicate effectively both orally and in writing across a wide range of audiences
  • Ability to make mathematical calculations and enter data accurately
  • Excellent interpersonal skills and a calm approach
  • Ability to maintain strictest confidentiality and integrity at all times
  • Ability to complete work to a high standard
  • Ability to work with initiative and cope with periods of pressure and prioritise workload accordingly so that deadlines are met
  • A commitment to working as part of the whole school team and supporting the vision and ethos of the school
  • Strong organisational skills and attention to detail, with the ability to manage multiple tasks effectively
  • Smart with professional appearance
  • Ability to relate well to children and families
  • Be aware of the requirements of working in an educational establishment
