Job Summary

  • The primary obligation of a purchasing executive is to maintain and negotiate the best price and quality for products, place order for products and establish relationships with key suppliers to ensure that products are of high quality and delivered on time.
  • Ensure that the most profitable offers are identified.
  • Coordinating with internal team regarding their supply needs and overseeing purchasing team in their daily activities.

Job Responsibilities

  • Managing daily purchasing activities, supervising staff and allocating tasks.
  • Maintaining supplier’s relations and negotiating contracts, prices, timelines, etc.
  • Maintaining the supplier’s database, purchase records and related documentation.
  • Coordinating with sales team to determine and manage inventory needs and place order where needed.
  • Research potential suppliers.
  • Compare and evaluate offers from different suppliers.
  • Track orders and ensure timely delivery
  • Review quality of purchased products.
  • Ensure to enter order details (e.g. suppliers, quantities, prices) into internal database.
  • Maintain and review records of purchased products, delivery information and invoices.
  • Prepare weekly reports and monthly reports on purchases, including cost analysis and send to the management.
  • Monitor stock level and liaise with sales team and place order as needed.
  • Coordinate with warehouse staff to ensure proper storage.
  • Analyze price proposals, financial reports and other information to determine reasonable prices.
  • Evaluate and monitor contracts to be sure that suppliers and supplies comply with the terms and conditions of the contract and to determine the need for changes.
  • Manage supplier’s credit limit and days to ensure they are fully utilized for the benefit of the company.
  • Investigate purchase prices and offer from suppliers to other retail companies.
  • Manage and ensure purchase target are met and incentives recorded against each suppliers account.
  • Any other roles as may be assigned by the management from time to time.

Qualifications, Experience & Person Specification
The candidate must possess:
Essential:

  • Deep knowledge of inventory and supply chain management.
  • Supervisory and management experience.
  • Proficiency in Microsoft Office and purchasing software.
  • Excellent communication skills, both written and verbal.
  • Strong critical thinking and negotiation skills.
  • Strong planning and organizational skills.
  • Ability to work independently.
  • Problem solver with a strong analytical mindset
  • Outstanding organizational and time management skills
  • Excellent customer service skills

Personal Attributes:

  • Excellent interpersonal and communication skills.
  • Demonstrable evidence of creative initiatives.
  • Minimum 3 years experience.
  • Ability to negotiate, have good sense of judgment and make productive procurement decisions.

Accountability:

  • Be accountable to the Management in all matters relating to purchasing function and team.
  • Provide professional advice the management in relation to purchasing challenges.
