About the Role

With the support of the Program Manager and Accounts Manager, the Procurement and Logistics Manager is responsible for implementing and managing sound Logistics practices in the GBVS Offices. The office is responsible for supporting Response Director, Finance team and program team in facilitating the day-to-day operation of inventory, assets, premises, stores, and communications functions within GBVS Offices. The Procurement and Logistics Manager is expected to work in close collaboration with Finance Manager by providing technical support and assisting daily logistics operations in GBVS Adamawa Office.

Duties, objectives and competencies

Procurement/Supplies

  • Develop and implement strategic sourcing strategies to identify and qualify new suppliers for supplies, commodities, and materials.
  • Negotiate and finalize contracts with suppliers, securing the best possible terms, pricing, and delivery schedules.
  • Manage supplier relationships, fostering communication and collaboration to ensure reliable deliveries and high-quality materials.
  • Oversee the operational aspects of procurement, including processing purchase orders, managing requisitions, and expediting orders for timely material delivery.
  • Implement and maintain efficient inventory control procedures to minimize stockouts and overstocking.
  • Work closely with the production planning and engineering teams to understand material requirements and forecast demand.
  • Analyze procurement data to identify cost-saving opportunities and continuously improve procurement processes.
  • Prepare and present procurement reports to management, highlighting key metrics like cost savings, lead times, and supplier performance.
  • Ensure adherence to company policies, procedures, and regulations for procurement activities.
  • Stay up-to-date on market trends and industry standards related to material procurement for the foundry industry.

Asset Management:

  • Support GBVS Finance/Program units by ensuring that GBVS Adamawa assets are accounted for and recorded on the Fixed Asset Register (FAR) as per GBVS Asset management procedures and policies taking into consideration donor requirements.
  • Tracing the physical counts and update relevant paper works as per standards and requirements set in Manual, including coordination with Finance Officer in Assets checks in all GBVS premises.
  • Support GBVS Finance/Program units by ensuring that adequate checks are in place for the recovery of GBVS Adamawa assets from staff at the end of their time working for GBVS.
  • Ensure that all relevant reports, required authorisations and paperwork is maintained up-to-date and on file as per standards and requirements set in the Logistics Manual in all GBVS premises.
  • Ensure that labeling any newly purchased or donated assets are finalized in timely and proper manner according to Logistics Manual for all GBVS premises.
  • Support GBVS Finance/Program units by preparing asset management documentation including Asset Receipt Certificates, GRN, Waybill etc.
  • Ensure that adequate stock of accessories and assets are ready to be used in all GBVS premises
  • Support GBVS Finance/Program units on asset disposal documentation preparation in all GBVS premises.
  • Support GBVS Finance/Program units on raising the asset purchase requests needed in all GBVS premises such as A/Cs etc.
  • Ensure tracking the cartridges and regular services/repairs.
  • Ensure to contact the relevant suppliers for supplies.

Premises Management:

  • Support GBVS Finance/Program units on monitoring stock levels of Adamawa office and houses (accommodation) consumables and running stocks, grocery, household items, kitchen consumables are tracked and ordered in timely manner.
  • Ensure to arrange all the activities and requirements for work related and social events, trainings, gatherings when required in all GBVS premises.
  • Support GBVS Finance/Program units on finalizing all utility payments for all GBVS premises and premises on time.
  • Ensure that all maintenance and repair to all GBVS premises is kept up and performed appropriately when required.
  • Ensure that all regular check and services for air conditioners, printers etc.in all GBVS premises are kept up and performed in timely manner.
  • Support GBVS Finance/Program units on raising premises PRs such as furniture, construction, maintenance etc. for GBVS Adamawa projects.

The above list of duties is not exhaustive list. The Procurement and Logistics Manager is expected to complete additional responsibility and tasks as requested by the direct supervisor.

Requirements (essential)

  • Bachelor’s or equivalent degree/HND. Master degree is added advantage
  • At least 5 years of proven experience in NGO or private sectors.
  • Professional working proficiency in English and Hausa Languages.
  • Strong computer skills in Microsoft packages.
  • Committed team player and ability to work within a multicultural team.
  • Ability to manage and prioritise a varied workload in a dynamic work environment.
  • A flexible approach to work and willingness to take on extra duties, work additional hours or on weekends as required.
  • Strong organizational skills.
  • Excellent attention to detail.

Duration:

This role is open for an initial 12 months and may be renewed based on available funding/satisfactory assessment.
