Description 

  • Typing, Binding and proper filling of Documents (Hard & Soft copies).
  • Ability to Schedule meetings and manage calendars.
  • Answer phone calls, and take messages.
  •  Draft correspondence such as emails and letters.
  • Following up and provide administrative support on bidding for new projects.
  • Liaising with various departments, such as account, store and technical department to achieve goals on time delivery of projects/materials.
  • Prepare final valuation on completed project.
  • Prepare certificate of completion on the completed project.
  • Prepare minutes of meetings.
  • Plan travel, including flights, accommodation and ground transportation.
  • Coordinate events and speaking engagements.
  • Document controlling and auditing in line with ISO Standards.
  • Managing Clients contracts and relationships and annually reviewing current company client base by keeping proper client details & profiles, reconciliations, and retention records.
  • Liaise with the account department for supplier’s correspondence.
  • Preparation of work order/assigning project manager to new project.
  • Managing highly confidential information in accordance with the company policy, processes and procedures.

Qualifications

  • HND, B.Sc. in Business or Public Administration, Social sciences & Secretarial studies.
  • MBA is a plus.

Skills:

  • Knowledge of ISO Processes, procedures, practices and documentation will be a major added advantage that will be highly considered.
  • A self-starter, capable of acting on own initiative and proactively managing competing demands, pressures and able to multi-task effectively.
  • Must be able to work collaboratively, with a range of colleagues in the wider organization, as well as with external stakeholders.
  • Excellent interpersonal, diplomatic, oral communication skills
  • Good level of numeracy and ability to analyze statistical and financial data.
  • Confidence in working with senior internal and external stakeholders at director and trustee level.
  • Well placed sense of judgment and political skills, able to exercise absolute discretion and confidentiality
  • Evidence of an ability to think outside the box and generate and implement creative solutions
  • To be able to work with versatility, meeting unexpected, very tight deadlines on occasion, being able to priorities as required and able to work autonomously.
