Responsibilities
Calendar Management:
- Maintain and organize the principal’s schedule, including appointments, meetings, and travel arrangements.
- Coordinate and prioritize appointments and ensure the principal is well-prepared for each engagement.
Communication Management:
- Manage incoming and outgoing communications, including emails, phone calls, and letters.
- Respond to inquiries promptly and professionally, filtering and prioritizing messages as necessary.
Administrative Support:
- Provide administrative support such as drafting documents, preparing presentations, and maintaining records.
- Handle various tasks including filing, data entry, and bookkeeping as required.
Travel Coordination:
- Arrange travel accommodations, including flights, hotels, and transportation.
- Prepare travel itineraries and ensure all arrangements align with the principal’s preferences and schedule.
Meeting Support:
- Organize and coordinate meetings, including scheduling, agenda preparation, and venue arrangements.
- Take meeting minutes, distribute agendas, and follow up on action items as needed.
Personal Errands and Support:
- Assist with personal tasks and errands, such as shopping, meal planning, and household management.
- Provide support for personal projects and events as required.
Confidentiality and Discretion:
- Handle sensitive information with the utmost confidentiality and discretion.
- Maintain trust and confidentiality in all interactions and communications.
Problem Solving:
- Anticipate potential issues and proactively address challenges to ensure smooth operations.
- Exercise sound judgment and resourcefulness in resolving problems effectively.
Qualifications and Skills
- Proven experience as a personal assistant or similar role, preferably in a high-paced environment.
- Excellent organizational and time-management skills, with the ability to prioritize tasks efficiently.
- Strong communication skills, both verbal and written, with a professional and courteous demeanor.
- Proficiency in office software such as Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant tools.
- Discretion and confidentiality in handling sensitive information and situations.
- Adaptability and flexibility to adjust to changing priorities and deadlines.
- Attention to detail and accuracy in all tasks and communications.
- Ability to work independently with minimal supervision while also functioning effectively as part of a team.
