Job Summary:
The Office Assistant will support the efficient operation of the office by performing a variety of administrative and clerical tasks. This role involves organizing files, scheduling appointments, handling correspondence, and assisting staff with daily tasks. The Office Assistant plays a crucial role in ensuring the smooth functioning of office activities.

Key Responsibilities:

Clerical Support:

Perform general clerical duties such as filing, photocopying, faxing, and scanning documents.

Document and Data Management:

  • Organize and maintain paper and electronic files.
  • Enter and update data in spreadsheets, databases, or other software systems.

Scheduling and Coordination:

  • Assist in scheduling meetings, appointments, and maintaining calendars.
  • Coordinate meeting arrangements, including booking rooms and preparing materials.

Reception and Customer Service:

  • Handle incoming and outgoing mail, including packages, letters, and other documents.

Office Supplies Management:

  • Monitor inventory levels of office supplies and place orders when necessary.
  • Keep the office organized and maintain common areas such as the break room or meeting rooms.

 Support to Staff:

  • Assist other staff members with administrative tasks as needed, such as preparing documents, reports, or presentations.

Skills required :

  • Organizational Skills: Ability to keep tasks organized and manage multiple responsibilities efficiently.
