ROLE SUMMARY

The Executive Assistant is expected to provide a strictly private and confidential personal assistant role to the CEO. Serves as the primary point of contact for internal and external constituencies on all matters pertaining to the CEO and act as gatekeeper to the CEO.

DUTIES AND RESPONSIBILITIES

Administrative Support.

  • Maintain and organise the CEO’s diary, filing system, and relevant areas.
  • Provide comprehensive secretarial and administrative services to the CEO
  • Co-ordinate all travel arrangements, itinerary and meetings agendas for the CEO.
  • Compile Board papers and ensure timely distribution for meetings.
  • Manages the MD’s calendar and appointments.
  • Prepares confidential correspondence and expense report

Project and Proposal Support:

  • Support the CEO on projects, proposals, bids, etc., through research, consultation, and team management.
  • Draft speeches, articles, briefings, and project proposals as requested by the CEO.
  • Support the CEO in creating key documents.
  • Completes critical aspects of deliverables with a hands-on approach.
  • Prioritises conflicting needs and handles matters proactively.

Communication:

  • Serve as a point of contact for internal and external stakeholders,
  • Keeps the MD informed of upcoming commitments and responsibilities.
  • Stays updated on issues in the environment to provide relevant updates to the MD

Time and Focus Management:

  • Ensure the CEO’s time is directed toward high-value activities and business issues.
  • Assist the CEO in identifying tasks that can be delegated or require a change in time allocation.

General Duties:

  • Perform any other duties/task as assigned

Job Requirements

Education Qualification

  • Minimum of first degree in any discipline.

Work Experience

  • 2-3 years’ experience as Executive or Techincal Assistant
  • Proven track record in office operations management.

Skills And Abilities

  • Problem-solving skills.
  • Customer service orientation.
  • Employee must be technology savvy.
  • Advanced skills in Microsoft Office Suites and financial modelling tools
