Main Duties and Responsibilities:

  • Oversee and support all administrative duties in the office and ensure the office operates smoothly.
  • Maintain accurate records and ensure the confidentiality of sensitive information.
  • Generate and process purchase orders for necessary supplies, equipment, and aesthetic products.
  • Ensure that all procurement activities align with the established budgetary constraints.
  • Keep track of inventory levels for skincare products and office supplies.
  • Conduct quality assessments of received supplies and products to ensure they meet the clinic’s standards.
  • Generate regular reports on procurement costs and savings for management review.
  • Facilitate smooth communication and collaboration among team members.
  • Coordinate and oversee routine maintenance of the clinic’s facilities, including repairs and upgrades.
  • Supervise maintenance officers to ensure a safe and aesthetically pleasing environment.
  • Monitor and ensure compliance with all relevant regulations, including health and safety standards and licensing requirements.
  • File hard copies of tax remittance and attend to tax related matters.
  • Post clinical operations expenses.
  • Lodgement of cash to the bank and P.O.S reconciliation.
  • Ensure compliance with all clinic policies and procedures.
  • Address day-to-day challenges with a proactive and solution-oriented approach.

Required Skills and Qualification

  • Bachelor’s degree in business administration, communications, or a related field
  • 2-4 years of work experience in an administrative/office management role.
  • Fanatic attention to details and problem solving skills.
  • Excellent organizational and time management skills, and multitasking ability.
  • Strong interpersonal and communication skills.
  • Proficiency in basic computer applications (Microsoft Office, email,Excel Google suits etc.).
  • Enthusiastic, personable, and able to create a welcoming atmosphere.
  • Ability to adapt to a fast-paced and dynamic environment.
