Job Description

  • Manage calendars, schedule meetings, and coordinate travel arrangements for department staff.
  • Prepare and maintain accurate records, files, and reports.
  • Handle incoming and outgoing correspondence, including emails, letters, and phone calls.
  • Provide general administrative support, such as photocopying, scanning, and filing.
  • Maintain a well-organized and efficient office environment.
  • Manage office supplies and equipment.
  • Coordinate office events and meetings.
  • Provide administrative support for various department projects.
  • Maintain accurate and up-to-date databases and records.
  • Prepare and analyze data as needed.
  • Oversee the daily operations of the department’s fleet of vehicles.
  • Coordinate vehicle maintenance, repairs, and inspections.
  • Track vehicle mileage, fuel consumption, and maintenance costs.
  • Coordinate vehicle assignments and scheduling.
  • Ensure compliance with all applicable fleet management regulations.

Qualifications and Skills

  • Higher National Diploma / BSc. or equivalent required.
  • Minimum of 5 years’ experience in an administrative role.
  • Strong organizational and time management skills.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Attention to detail and accuracy.
  • Ability to work independently and as part of a team
