The Front Desk Officer will be the first point of contact for our company, providing exceptional customer service to visitors, clients, and staff. This individual will ensure the smooth operation of front desk activities, maintain office records, and provide administrative support to various departments.

What You’ll Do

Visitor Management:

  • Greet and welcome visitors in a warm and professional manner.
  • Direct visitors to the appropriate person or department.
  • Maintain a visitor logbook and manage visitor badges.

Communication:

  • Provide basic and accurate information in person and via phone/email.
  • Address customer inquiries and complaints professionally and efficiently.

Mail and Packages:

  • Manage and distribute incoming and outgoing mail and packages.
  • Document Preparation and Records Management:

Event and Meeting Coordination:

  • Assist in planning and coordinating office events, meetings, and conferences.

Office Management:

  • Ensure the front desk area is tidy, presentable, and equipped with necessary stationery and materials.
  • Monitor and manage office supplies inventory; place orders as needed.
  • Coordinate with vendors for office maintenance repairs and other building issues.
  • Report any office/facility issues to the facilities manager.

Financial and Reporting Duties:

  • Maintain records of office-related expenses.
  • Prepare and submit regular reports on front office activities.
  • Document and report any office deficiencies or needs.

Relationship Management:

  • Foster positive relationships with clients, visitors, and vendors.

Requirements

  • NYSC members or candidates with an OND degree in Business Administration, Communications, or a related field are eligible.
  • Proven experience as a Front Desk Officer, Receptionist, or similar role.
  • Proficiency in MS Office Suite and office equipment (printers, copiers).
  • Strong attention to detail, problem-solving, and interpersonal skills.
  • Ability to maintain confidentiality and work independently.
